Event Site Review – Formula SAE

ANIMALS: No animals allowed.
In accordance with the ADA, service animals that are individually trained to do work or perform tasks for a person with a disability are permitted. Emotional support animals, comfort animals, and pets are not considered service animals under the ADA.

ANNOUNCEMENTS: Announcements requesting parts, tools or assistance can be made by the announcer in G1. In addition, the sound system will be FM Broadcasted on frequency 91.5. Event Announcements will also be pushed via the Formula SAE App.

ARRIVAL: To prevent traffic backlogs onto U.S. 12, please plan to arrive at MIS no earlier than scheduled site opening time on the schedule. For Early Registration on Tuesday afternoon that is 3:00 PM. For Wednesday that is 7:30 AM. Teams who arrive earlier than those scheduled times will be asked to leave.

ASK QUESTIONS: If you have a question – ask! If you have any questions about any part of the competition, the schedule, the procedures, the rules, or anything else, just ask one of the officials. The first place to bring questions is to the staff in the registration area.

BE ON TIME: The schedule is posted on the Formula SAE App and Series Resources. It is your responsibility to be on time.

BEHAVIOR POLICY: All students, spectators, sponsors, and volunteers must remain free from the influence of alcohol, marijuana, or illegal drugs while onsite. Possession of weapons or any illegal materials is strictly prohibited during the competition. All individuals are expected to conduct themselves professionally and courteously at all times.

BRING YOUR DOCUMENTATION: When you come to tech inspection bring all the documentation and correspondence connected to your (1) SES submission and (2) any Rules Questions you submitted. The inspectors may not have immediate access to this material, and you may need it to answer questions about your vehicles design and construction. The inspectors want you to pass tech and pass it easily, but they need your help to make that happen.

DO NOT RUN: Running tells people there is an emergency. Do not run unless life or limb is in danger.

DRIVER MEETINGS: Attending ALL drivers’ meetings is mandatory if you are planning to drive. Attendance will be taken. If you are not present, you will not be allowed to drive.

DYNAMIC/TECH AREA PASSES: Each team is issued 4 dynamic area passes. You must have a pass to gain access to the dynamic events areas. This pass is also used for tech inspection as we limit the number of team members with the car in tech to 4.

ENTERING AND EXITING THE SITE: Large Transport Trucks cannot fit in through the General Entrance (Gate 21) tunnel off Brooklyn Highway. All team member cars are to park outside the oval in the MIS Fan Zone located near Gate 21. The formula car transportation trucks must enter in and out through the US 12 (Gate 12) entrance. You will be driving across the track, so on Friday and Saturday the truck entrance will be closed when dynamic events are running; teams or sponsors will need to arrange for escorts in G1.

EVENT CLOSING TIMES: Friday dynamic event times consist of a staggered opening. All events will close at 5 p.m. Your car must have crossed the starting line by that time, or you can’t run.

PANORAMIC PHOTO: SAE will organize a panoramic photo on the MIS winner’s circle. This will be the only opportunity for teams to access the area for a photograph. The photo is scheduled for Thursday. In the event of inclement weather, a make-up session will be announced for Friday. Any unsupervised access to the winner’s circle will result in removal from the event.

PARKING: All students must park outside the track in the MIS Fan Zone. The paddocks are reserved exclusively for FSAE vehicle transporters (box trucks or trailers). All detachable vehicles and personal vehicles must be parked outside the oval in the MIS Fan Zone.
Any personal vehicles or trucks requiring infield access prior to 5:00 PM must request a special temporary pass from registration. After 5:00 PM, teams needing to remove their trailers for the night may gain truck access. Any personal vehicles found in the paddocks, sponsor, or volunteer parking areas without authorization will be towed.

PHOTOGRAPHY: Only official press may be allowed on track with escort; credentials required. SAE has a hired event photographer and all photos captured will be made public. Student teams can access the designated viewing areas for photograph needs.

PUSH BAR: You can only move your car if you use the push bar.

REMOVING CARS OVERNIGHT: The decision to remove your car from MIS overnight is entirely up to you. Teams must obtain approval from Tech Inspection by 5:00PM, who will remove Part Two (magnifying glass) of the tech sticker. Upon returning, any components worked on must be re-inspected by Tech Inspection.
Any team that violates this procedure will be automatically disqualified.

REGISTRATION: Registration for all student competitors, spectators and volunteers will take place in Garage 1. All participants onsite must sign the liability waiver and receive a wristband.

RESTRICTED AREAS: At MIS, teams are only authorized to use the infield, back straight, pit lane, garages, and designated surrounding facilities while the specific event is active. Access to other parts of the main oval, buildings immediately adjacent to the oval, or the bleachers is strictly prohibited. Anyone who violates these restrictions will be removed from the venue.

SECURITY: Keep all equipment and personal belongings secured. MIS is a large site, and the event does not provide on-site security except at the entrance gates. Do not leave tools, computers, or other equipment unattended where they could be stolen. You are responsible for your own belongings.

SPECTATORS: Spectators are welcome to attend FSAE. Friends and family wishing to watch the competition should park in the MIS Fan Zone near Gate 21 on Brooklyn Highway and enter through the pedestrian tunnels. All spectators must visit Registration in Garage 1 to sign the SAE waiver and receive a wristband.

  • Closed-toe shoes are required for all spectators.
  • Pets are not permitted.
  • Any spectator under the age 18 must be accompanied by an adult at all times.

TRANSLATORS: If a driver is not fluent in English, a translator is required. The translator must be present in the dynamic events area and available to officials whenever that driver is on course. Translators will be issued an additional dynamic area pass. Teams requiring a translator pass should request one at Registration.

WEATHER: Local weather can be unpredictable. In the event of inclement weather, warnings and updates will be broadcast via the PA system and the FSAE Mobile App. All persons onsite must follow all instructions and announcements for safety and policy compliance.

WHAT TO WEAR: This is a student engineering design competition focused on racecars. Students, spectators, sponsors, and volunteers should dress appropriately for the occasion.

  • Long pants are preferred but not required; if wearing shorts, attire should remain professional.
  • Shirts are required
  • Closed-toe shoes are mandatory — anyone wearing open-toe shoes will be asked to leave.

Teams should be prepared for a wide range of conditions — from sun to rain, and occasinally snow. Pack both long- and short-sleeve clothing, sunscreen, a coat, and comfortable closed-toe shoes.
