San Francisco International Airport (SFO)

  • To access the Rental Car Center from the airport terminals, take the AirTrain Blue Line. AirTrain, SFO's fully automated people mover system, operates 24 hours every day and provides frequent service throughout SFO. AirTrain stations are in all terminals, terminal parking garages, the Rental Car Center and SFO's BART station.

Norman Y. Mineta San Jose International Airport (SJC)

  • Address: 1701 Airport Blvd, San Jose, CA 95110
  • The Rental Car Center is located directly across from Terminal B. Terminal B passengers can walk across Airport Boulevard at the crosswalks from baggage claim to reach the Rental Car Center. Terminal A passengers may take any Airport blue shuttle bus to or from the Rental Car Center.

SAE has secured a hotel room block for all participating teams and presenters.

SAE is covering hotel room & taxes for attendees.
SAE will cover up to three (3) rooms per team for a maximum of three (3) nights. Incidentals and all other charges will be covered by the attendee. Peak room block nights are Thursday, September 28th through Saturday, September 30th with a few rooms available one day before and after. Rooms must be reserved by September 13th.

Below is some information that might be helpful for teams.
• Check in time is 4:00 PM
• Check out time is 11:00 AM
• There is a 24-hour cancellation policy for individual reservations.
• Please cancel 5 pm before day of arrival to avoid cancellation charges.
• If group “no shows” they will be charged one night fee. Guestroom will be cancelled, and a new reservation will need to be made.
• At check-in guests will need to provide a credit card at the front desk which will be authorized for $75 each day, not to exceed $225.
• Parking is complimentary for group.

Meals

  • Breakfast will be provided Saturday and Sunday at the hotel.
  • Lunch will be provided Saturday and Sunday at Tesla.
  • Dinner will be provided Saturday night.
  • RSVP is required for attendance. Please complete by September 14th this survey.

Parking

• Sonesta Hotel. Parking is complimentary self-parking at the hotel.
• Tesla Training Center. Attendees can park in designated EV Workshop parking lot at Tesla Facility which will be immediately adjacent to the building.

Registration & Tesla Non-Disclosure Agreement

• The three attending team members and one faculty advisor are required to be added to the team’s fast track roster on sae.org.
• Instructions for adding members to the fast-track roster can be found here and a step by step guide can be downloaded directly here.
• Deadline for completing fast track roster online SAE International team registration page is Thursday, September 14th by 11:59 PM
• All attending participants must complete a non-disclosure agreement before arriving at the facility.
• All non-disclosure agreements should be combined into one pdf and submitted on fsaeonline.com.
• Deadline for uploading all non-disclosure agreements is Monday, September 25th by 11:59 PM. Teams will not be able to substitute attending members after this time.

Special Activities

Welcome Reception/ Tesla Demo Day
Friday,September 29, 2023 @ 5:00 PM - 7:00 PM
• TESLA and SAE will host a welcome reception for all attendees at the Tesla Training Center.
• Additionally, TESLA will host a Demo Day for networking.
• Food and drinks provided.

Networking Night
Saturday, September 30, 2023 @ 5:00 pm – 8:00pm

  • TESLA and SAE will host a networking night for all attendees at Big AL’s located at 27 Ranch Dr, Milpitas, CA 95035.
  • Buffet Dinner and drinks provided.

Travel Stipend

TESLA and SAE will be providing teams with a $1,000 USD travel stipend to be used for travel cost reimbursement. Teams will receive a check in amount for $1,000 USD onsite at the time registration. Teams will be responsible for managing check.

Workshop Rules

• Access will only be granted to attendees with signed and submitted NDAs.
• Relaxed dress code during workshop sessions.
• Alcohol or Firearms are not permitted on the property.
• Smoking is prohibited except in designated areas.
• Attendees are allowed in designated areas only used for the workshop. You cannot wander off on your own.
• Tesla Workshop visitors’ badge must always be worn and displayed.
