Event Descriptions
Volunteer Event Role Descriptions
1. Registration Process
- Everyone must sign SAE and MIS Liability Waivers in G1.
- You will receive a wristband which must be worn at all times.
- You will receive a package containing your volunteer shirt, name badge and lunch tickets.
- You will only need to check in with registration volunteers once to sign the liability waivers which is required to be signed daily. If you would like to check in with us on additional days so we know you are present that is great but not required. Each event captain will have a volunteer roster of names to utilize for daily attendance.
- If you are a first time volunteer (welcome!), our volunteers can also help direct you to your location of assignments.
- You should have received volunteer assignment confirmation emails for your roles onsite. If you have not received this please email Kaley Zundel.
2. Meals
Please Note: The Event will provide several options for Standard (no restrictions), Gluten Free, Vegetarian and Vegan. Additionally, we would like to inform you that the track vendor, Levy will not ensure meals are free from any allergies. If you have a severe allergy or follow a strict diet, it may be best to come prepared.
- Continental breakfast will be available daily in G1
- Lunches will be provided daily and located in the Main Tent (unless your event area provides an order for event logistics to deliver). You will turn in your ticket to hospitality volunteers.
- Some event areas will be provided dinner if working past 5:00 PM. Those will be delivered or provided in designated area set by the event captain.
3. Dress Code/Survival List
Be prepared for any kind of weather. We have had sun, snow, rain and high winds over the years and the temperatures have dropped as low of 50 some years.
Long pants are recommended and closed-toe shoes required. Absolutely No Sandals or open toed shoes.
Survival List Recommendations:

4. Event Parking
Enter MIS from Brooklyn Hwy (tunnel entrance/Gate 21), just south of the pedestrian bridge. All parking will be directed by the MIS Parking Crew. Let them know you are a volunteer for FSAE.
The parking crew will direct you to parking lot located left of the driveway (Fan Plaza), (which is before you get to the guard shack). Once you park, look for the checkered flag painted on the ground and follow it to the Pedestrian Tunnel, which will take you in to the FSAE event site. The pedestrian tunnels is near the MIS tower building connected to the stands. The tunnel exits south of Garage 1 (G1), which is where you will go to register.
- If anyone has a state-issued handicap license plate or placard, please inform the parking crew and they will direct you to the guard shack. The guard will grant you access so you may park inside for a shorter walk.
5. Emergency Action Plan/Inclement Weather
This two-page document is being provided so every volunteer has an understanding what steps should be taken in event of an emergency. We will have several ambulances with EMTs onsite in addition to the MIS Fire & Safety staff to assist with all medical, accident and fire situations. However, please know if you are certified in first aid and/or CPR and comfortable in adminstering aid you may do so until EMTs arrive.
6. Camping Is Available
Volunteers are welcome to camp in the Apex Campground at no charge. The weather can be "iffy" during FSAE week, so camping in an RV (NOT a tent) is recommended. Volunteers will have access to showers in the Graves Campground across the street from MIS.
MIS does need SAE to provide a roster prior to competition. MIS needs to know the following information by Monday, May 12th:
LAST, FIRST NAME
CELL
E-MAIL
DATES (Arriving/Leaving)
SCCA Volunteers should be providing details to Ed Arthur.
All other volunteers interested please email Kaley Zundel.
Cancellations
We are counting on you to participate as scheduled, but we know that sometimes unexpected things happen (work travel, illness, family emergency, etc.) PLEASE email me to let me know if you are not able to honor your commitment. If you are able to recruit a replacement for yourself, it would be very much appreciated.
